Privacy Policy

We're pretty serious about keeping your information safe and treating it right

Last Updated: November 11, 2025

Overview

Look, we get it - reading privacy policies isn't exactly thrilling. But since we deal with executive-level placements and sensitive succession planning, we figured you'd want to know exactly how we handle your data.

At Arcen Forge Legacy HR Solutions, we've been in the trenches long enough to know that trust isn't just handed over - it's earned. This policy lays out what information we collect, why we need it, and what we do (and don't do) with it.

We're based in Vancouver, BC, and we follow Canadian privacy laws, including PIPEDA (Personal Information Protection and Electronic Documents Act). If you're in another jurisdiction, we'll respect those requirements too.

Here's what we typically gather when you work with us:

  • Contact Details - Name, email, phone number, business address. Pretty standard stuff.
  • Professional Information - Your resume, work history, career achievements, compensation expectations. We need this to match you with the right opportunities.
  • Company Information - If you're hiring through us, we'll collect details about your organization, culture, and the role you're looking to fill.
  • Assessment Results - Leadership assessments, personality profiles, skill evaluations. These help us understand fit and development needs.
  • References - Contact info for folks who can vouch for your professional capabilities.
  • Communication Records - Emails, phone notes, meeting summaries. We keep these so nothing falls through the cracks.
  • Website Usage Data - IP addresses, browser type, pages visited. Standard analytics stuff to improve our site.
Note: We'll never ask for sensitive personal information like SIN numbers, banking details, or health information unless there's a legitimate, specific reason tied to an engagement - and we'll tell you why.

We're not in the business of hoarding data for fun. Here's what we actually do with your info:

Executive Search

Matching candidates with leadership roles, presenting profiles to clients, facilitating interviews.

Succession Planning

Assessing leadership pipelines, identifying development needs, planning transitions.

Talent Development

Coaching engagements, leadership training, skill assessments.

Communication

Updates on opportunities, market insights, follow-ups on engagements.

We'll also use aggregated, anonymized data to spot trends and improve our services. But that's stripped of anything that could identify you personally.

We're not selling your data to random third parties. Period. But there are legitimate situations where we share information:

  • With Client Organizations - If you're a candidate, we'll share your profile with potential employers. That's kinda the whole point.
  • With Your Consent - We'll always ask before sharing your info in ways that aren't directly tied to our services.
  • Service Providers - We work with trusted partners for things like background checks, assessment tools, and CRM systems. They're bound by confidentiality agreements.
  • Legal Requirements - If we're legally required to disclose information (court orders, regulatory requests), we will. But we'll push back on overly broad requests.
  • Business Transfers - If we're acquired or merge with another firm, your data might transfer. We'd notify you and ensure protections remain.
What We Don't Do: We don't sell contact lists, rent databases, or share your info with marketers. That's not our game.

We keep your information as long as it's useful and relevant. Here's the breakdown:

Data Type Retention Period
Active candidate profiles While you're actively looking + 3 years
Placed candidate records 7 years (for reference checks & follow-up)
Client engagement data Duration of relationship + 7 years
Website analytics 26 months
Email communications 3-7 years depending on context

After these periods, we'll either delete or anonymize the data. If you want us to delete your info earlier, just ask - we'll accommodate that unless there's a legal reason we need to keep it.

Storage Location: Your data is stored on secure servers in Canada, with encrypted backups. Some tools we use might have servers in the US, but they're all certified under appropriate data protection frameworks.

You've got rights, and we respect 'em. Here's what you can do:

Access

Request a copy of the personal information we hold about you.

Correction

Update or correct any inaccurate information in our records.

Deletion

Ask us to delete your personal data (with some legal exceptions).

Portability

Get your data in a portable format to take elsewhere.

Object

Object to certain processing activities (like marketing).

Withdraw Consent

Pull back permission you've previously given us.

To exercise any of these rights, just shoot us an email at info@arcenforgelegacy.info or call us at (604) 782-5940. We'll respond within 30 days.

Yeah, we use cookies - but not the chocolate chip kind. Here's what's happening when you visit our site:

Essential Cookies

These keep the site functioning. You can't really opt out of these without breaking things.

Analytics Cookies

We use Google Analytics to understand how folks use our site - which pages get traffic, where visitors come from, that sort of thing. It's anonymized data that helps us improve the experience.

Preference Cookies

These remember your choices so you don't have to reset preferences every time you visit.

You can manage cookie preferences through your browser settings. Most browsers let you block or delete cookies, though it might affect how the site works for you.

We take security seriously. After all, we're dealing with executive-level information that could impact careers and companies. Here's how we protect your data:

  • Encryption: Data in transit is encrypted using TLS. Data at rest is encrypted using industry-standard protocols.
  • Access Controls: Only team members who need access to specific information get it. We use role-based permissions and multi-factor authentication.
  • Regular Audits: We review our security practices regularly and conduct penetration testing.
  • Secure Infrastructure: Our systems are hosted with reputable providers who maintain high security standards.
  • Staff Training: Everyone on our team gets trained on data protection and privacy best practices.
  • Incident Response: We've got protocols in place for handling any security incidents. If there's a breach affecting your data, we'll notify you promptly.

No system is 100% bulletproof, but we're doing everything reasonable to keep your information locked down.

We're based in Vancouver, but sometimes executive searches cross borders. If we're working on a placement that involves international candidates or clients, your information might be transferred outside Canada.

When that happens, we ensure:

  • The receiving party has adequate data protection measures in place
  • We comply with applicable data transfer regulations
  • You're informed about where your data is going and why

For transfers to the US, we work with organizations that comply with recognized data protection frameworks. For other jurisdictions, we assess protections on a case-by-case basis.
